Unit role and responsibilities

This office performs secretarial activities to assist the Division’s representative and staff, acting as a point of contact with other Divisions of the University and running an orientation desk for internal and external users.

Activities

Key tasks of the office include:

  • Performing secretarial activities to assist the Division’s representative and staff
  • Processing incoming mail, paper communications and documents in Archiflow
  • Acting as a point of contact with other Divisions of the University
  • Managing digital archives and paper historical archives.

The Secretariat also oversees the Division’s front-end activities by running an orientation desk for internal and external users. To this end, it ensures:

  • Constant monitoring of communication channels with the public
  • Prompt feedback to users’ requests, including redirecting users to the competent office or the person responsible for their specific enquiry
  • Collaboration with the Help Desk of the Office of the Managing Director whenever service disruptions arise, or to improve system procedures.
